01What this policy covers

This policy explains what information we collect when you visit this website, sign up for a trial, or keep your books in the service, and what we do with it. It applies to business owners, their staff, and the accountants and CAs they invite.

02Information we collect

Account details. Your name, email address, business name, GSTIN, industry and the details you give when signing up or writing to us.

Books and documents. Invoices, purchase bills and their photos, bank and UPI statements, ledgers, stock records, GST return data, notes and approvals that you or your users enter or upload.

Portal credentials. Where you connect the e-invoice or e-way bill system, the API user details you provide. We never ask for your net banking password.

Usage data. Log-in times, device and browser type, IP address and the actions taken in the service, kept for security and the change history.

03How we use it

  • To run the service: make invoices, read bills, match bank lines, prepare GST returns and show reports.
  • To send your login details, service messages, payment reminders you set up, and replies to your questions.
  • To keep the service secure, find faults and prevent misuse.
  • To bill you for your plan and meet tax and accounting rules that apply to us.

We do not sell your data, and we do not use your books to advertise to you or anyone else.

04How the AI uses your bills

The AI Bookkeeper reads the bills you upload to suggest ledger entries for your accountant to approve. The bill and what was read from it are stored with the entry in your books.

Your bills and books are not used to train models for other businesses. Where we use an outside AI provider to read documents, it is bound by contract to process them only for us and not to keep or train on them.

05Who can see your data

People you invite. Your accountant, your CA and their team, and your staff see what their role allows. You can remove anyone at any time.

Service providers. Cloud hosting, email delivery, payment processing and document reading providers, each limited to what they need to provide their service.

Government systems. Data is sent to the GST, e-invoice or e-way bill systems only when you or your users ask for it.

When the law requires it. We disclose data to authorities only on a valid legal demand, and tell you unless we are not allowed to.

06How we protect it

  • Encryption in transit and at rest.
  • Daily backups kept in a separate location.
  • Role-based access, with every change recorded by name and time.
  • Staff access to customer books only when you ask for help, and logged.

07How long we keep it

Your books are kept while your account is active. If you close your account, you can export everything first. We then delete your books within 90 days, except backups, which roll off within a further 30 days, and records we must keep by law, such as our own invoices to you.

Indian tax law asks businesses to keep books for a number of years. Please export and keep your own copy before closing your account.

08Your choices and rights

You can see, correct and export your data from inside the service. You can ask us to delete your account, to stop non-essential emails, or for a copy of the personal information we hold about you. We respond in line with the Digital Personal Data Protection Act, 2023 and other laws that apply.

09This website and cookies

This website uses a short session cookie to check the sum on the signup and contact forms and to stop repeated submissions. It does not use advertising cookies.

10Questions about privacy

Write to us from the contact page and choose Something else as the topic. If we change this policy in a way that matters, we will tell account owners by email before the change applies.
